President’s Report

  • Numerous requests for account “upgrades” / changes were processed Page 1 of 11 WHITEOAKS PARK TENNIS CLUB Page 2 of 11
  • 809 FOBs were activated and/or assigned. The 189 New FOBs handed out were activated within 48 hours after pickup.
  • Retention rate: The average renewal rate is 69% among adults (66% in 2025) and 51% among juniors.
  • Customer/Members Service: More than 300 emails were sent in response to questions, requests, and comments related to membership issues such as FOBs, membership changes, and information updates.
  • Whiteoaks had 282 new Adult and 64 new junior members.

In 2026, our membership numbers shifted from 1,111 members in 2025 to 1,076 members, reflecting a loss of 35 members, or 3%. This adjustment is not just a statistic; it represents our board’s commitment to improving your experience by keeping the courts at manageable volumes. By doing so, we aim to enhance court availability for all members, ensuring you have more opportunities to play and enjoy our facilities.

Financial Report

In 2026, Whiteoaks Park Tennis Club achieved a total income of $178,762, with total expenses amounting to $102,146. This resulted in a commendable net saving of $76,616, leading to an increase in our cash reserves to $285,118. This strong financial position enables us to proceed with the planned reconstruction of courts 6, 7, and 8, anticipated to commence in the fall of 2027. This project will significantly enhance our facilities and provide an improved experience for both members and guests.

Nominations for the upcoming board were opened. All current board members were nominated except Arthur Searles who decided not to run for re-election, with 5 additional nominations from the floor.

Questions and Discussions

Several members raised questions regarding the cost in court reconstruction 6-7-8, parking issues, lighting installation challenges due to city and Ontario Hydro regulations.

The board acknowledged these concerns and indicated ongoing communications with city officials to address these matters.

Adam Szczepanowski, one of our members, raised concern about why the number of new fobs sold by the club doesn’t match the number of new members and why the board members were granted a free membership. The president explained that it was voted unanimously 2 years ago during the 2024 AGM meeting in recognition for the time and effort spent to deal with the club issues (verbally approved by the attendees).

Membership and Booking Policies

Discussions covered membership booking rules, including time limits and practice allocations for various teams. The board outlined practice schedules, court allocations, and policies to balance competitive and recreational play among members.

Other Business

The club acknowledged survey feedback indicating high member satisfaction. Members discussed potential improvements such as attending team tryouts by the coach and other special projects.

Adjournment

There being no further business, a motion to adjourn the meeting was made by Shaughn McClusky, seconded by Tarik Khan, and carried unanimously. The meeting adjourned at 8:00pm.
